Microsoft 365 Copilot can save your team real time. Drafting emails in Outlook, summarising Teams meetings, pulling figures out of Excel, building first-draft proposals in Word. For the right business, it’s a meaningful productivity boost.
But it isn’t a switch you flip. Copilot reads everything a user has permission to see across your SharePoint, OneDrive, Teams and email. In most businesses, that includes files that were technically accessible but practically invisible. Old HR documents, finance spreadsheets from two restructures ago, director-level planning documents that got shared a bit too widely. Copilot makes all of it findable with a single prompt.
That’s why how you adopt Copilot matters as much as whether you adopt it.
We don’t just sell you the licence and wish you luck. Our Copilot rollouts follow four stages:
A structured review of your Microsoft 365 tenant. We check your licensing eligibility, audit SharePoint and OneDrive sharing permissions, flag any oversharing risks, and identify the best group of people to start with. You get a written report with findings and a clear recommendation: go, fix first, or not yet.
If the assessment turns up issues, and on most tenants it does, we tidy them up. Typically this means fixing overly broad sharing links, applying sensitivity labels to confidential content, and archiving content that shouldn’t be in the mix.
We roll Copilot out to a small group, usually 5 to 10 people, for 4 to 6 weeks. This includes a practical kickoff training session because the single biggest predictor of whether Copilot delivers value is whether your people know how to use it well. Untrained users save almost no time. Trained users save 20 minutes a day or more.
Once the pilot is working, we extend licences to wider team members and run quarterly governance reviews to reclaim unused licences, check for permission drift, and make sure you’re getting value from what you’re paying for.
Three things to be upfront about before you commit:
It’s an annual commitment. Microsoft only sells the Copilot add-on on a 12-month term, at £193.20 plus VAT per user per year, paid annually. There’s no monthly option.
It needs preparation. Most tenants aren’t ready for Copilot out of the box. Our Readiness Assessment is a fixed fee between £750 and £950 plus VAT. Any remediation work is quoted based on what we find, charged at £75 plus VAT per hour.
Training is where the ROI comes from. We build a 90-minute kickoff training session into every pilot, because without it the licence spend doesn’t pay back.
For a typical pilot of 10 users, you should be thinking in the region of £2,800 plus VAT for our work to get you ready, trained and launched, plus £1,932 plus VAT per year for the Copilot licences themselves, paid direct to Microsoft through our licensing arrangement.
If the pilot goes well, you extend licences at the same per-user rate.
